HCI+D Center Community Guidelines for Space Usage

HCI+D Center faculty affiliates are welcome to reserve the center’s space for activities and events that are relevant to HCI + Design. The Center is located in Frances Searle Building Room 1-122 on the Evanston Campus and includes: a large open space (capacity ~30), a maker space, and  2 smaller offices/conference rooms that can be reserved. We particularly encourage ad-hoc or sporadic events that may be difficult to schedule in other campus spaces. 

For events that will be advertised to the campus and/or HCI + Design research community (i.e., colloquia, community events, etc.), and/or involve hosting guests or visitors (i.e., invitational workshops or small conferences), it is generally expected that in-kind contributions of event space or other Center resources will be acknowledged by listing the HCI+D Center as an event co-sponsor in promotional and/or organizational materials (i.e., emails, flyers, agendas, social media posts, etc.). The Center’s logo is readily available for this purpose upon request from Marcia Hilliard or any of the Center leaders. 

During and after events, please remember that the HCI+D Center is a community space, and should be treated as such. Organizers are responsible for returning the space to the condition it was in at the start of their event, and reporting any inadvertent damage or issues with equipment, etc. to Marcia Hilliard. 

As our space is limited and geared toward shared usage, we are unable to accommodate requests for long-term storage of equipment, furniture or supplies. In cases where ongoing projects in the Center’s facilities require equipment that is shared and/or not easily moved, we are happy to consider short-term storage requests from affiliates, using the space reservation process described below. In general, such requests should briefly describe the project, specify the start and end dates for the storage request, briefly describe what will be stored, and propose plans for minimally obstructive storage in one or more of the smaller rooms within the Center. It is the responsibility of the requester to remove their materials by the end date, or to submit a request for extension. While the space is only accessible to faculty affiliates, we can not guarantee the safety or security of stored materials.

Requests to reserve space are generally considered on a first-come, first-served basis and are granted at the discretion of center leadership. To reserve space, please email Marcia Hilliard (m-hilliard@northwestern.edu), preferably at least 2-3 weeks prior to your event. Please include the date and time range, the space(s) you’d like to reserve, the primary point of contact, a short description of the event or activity, and the estimated attendance. 

In the unlikely event that a Center affiliate repeatedly fails to comply with these community guidelines, future space reservation requests and/or other privileges may be denied by Center leaders.
